Title:  Shasta Historical Society Administrator            Date: May 2019

Summary:  The Society Administrator reports to the Board of Directors and has overall charge of the Society’s budget, finances, personnel, and operations.  The Society Administrator’s main charge is to provide overall leadership in the Society’s mission through engagement and collaboration with visitors, members, and prospective donors, area schools and education groups, other cultural institutions and the community in general. The Society Administrator oversees four part-time employees and volunteers.

Required Qualifications

  • A degree or equivalent work experience in a discipline related to one of the Museum’s range of functions or operations such as history, library sciences, museum studies, archaeology, etc.
  • Evidence of leadership and administrative experience in senior positions, in previous employment, preferably at a non-profit.

Preferred Qualifications

  • Excellent verbal and written communication skills to advance effectively the mission and vision of the Society.
  • A strong commitment to share enthusiastically through a variety of modalities the vision, mission, goals and accomplishments of the Society with stakeholders, potential donors and funding entities.
  • Evidence of commitment to expansion, preservation and interpretation of collections.
  • Past success in developing cooperative and effective relationships among institutions and their staffs, boards or support organizations.
  • Demonstrated fundraising skills and a track record of fundraising successes that include cultivating relationships with private donors, foundations and other funding sources.
  • Demonstrated commitment to creating or enhancing a visitor-centered experience that effectively reaches and engages diverse communities and audiences.
  • Evidence of strategic planning skills that includes drafting, implementing and refining an effective plan by engaging a diverse group of internal and external stakeholders.
  • Knowledge of budgeting, financial reporting and the prudent management of an institution’s resources. Experience with nonprofit financial management, collaborating with support organizations or public-based budgeting systems.
  • Experience in the creation and execution of effective marketing programs for a Society or similar institution.
  • An understanding and commitment to ethical standards, legal responsibilities and best practices established by museum and library accreditation, state and federal law and international covenants.


  • Promotes the implementation of the vision and mission of the Shasta Historical Society.
  • Directs the general administration of the Society through effective management of personnel and resources and by implementing, creating and enforcing policies and procedures necessary for the efficient functioning of the organization.
  • Ensures that employees are appropriately trained and have adequate resources for the efficient delivery of the Society’s programs and activities and ensuring a safe and friendly environment for employees, volunteers, and visitors.
  • Leads the development and implementation of the Society’s strategic goals to accomplish its objectives.
  • Provides oversight of the Society’s locations and activities, including the relationship with Shasta State Historic Park.
  • Ensures the Society’s collections are properly stored, preserved, and exhibited and that an effective collection policy is maintained by Historic Resources staff and volunteers.
  • Cultivates relationships with other institutions that support and encourage cooperation in efforts to engage the larger community in an exceptional local history experience.
  • Prepares budget proposals and works closely with Board of Directors on budget and funding related matters.
  • Provides effective oversight of income and expenses and provides reports to the Board of Directors.
  • Advances the Society’s development efforts by coordinating with the Board of Directors and the Development Committee to identify and cultivate donors and supporters.
  • Leads efforts to increase community fundraising through grants and sponsorships in support of Society programs, exhibits, collections management, and operations.
  • Serves as a resource person and advocates for topics relating to or affecting the Shasta Historical Society.
  • Attends and participates in professional group meetings; stays abreast of new trends and innovations within the field.
  • Duties include but may not be limited to the above.

Physical Demands: Ability to lift/move up to 40 lbs. (approximately) overhead. Ability to perform administrative duties such as typing, filing, bending over to low files, reaching high files, and climbing ladders. Work involves sitting most of the time, but may involve walking, standing, reaching, lifting, and carrying heavy materials for brief periods.

Work Schedule: This is an exempt positon that works any shift, including evenings, weekends and holidays.
